Refund & Cancellation Policy
Effective Date: August 28, 2026 • Scope: Professional Consulting & Diagnostic Audits
1. Overview & Service Character
Core Axispoint Consulting provides bespoke, highly specialized professional programming consulting, software architecture reviews, and codebase forensic triage. Because our engagements involve dedicated senior architect allocation, intensive AST analysis, and custom proprietary documentation, this Refund & Cancellation Policy defines the transparent conditions governing cancellations, rescheduling, deposits, and refunds.
2. Engagement Deposits & Mobilization Fees
Custom diagnostic engagements (including our Flagship Full-Scope Architectural Audit, Modular Decoupling Blueprints, and Pre-Migration Reviews) typically require an advance deposit (typically 30% to 50% of the total fixed fee) upon execution of the Statement of Work (SOW) to reserve consulting capacity on our principal architect calendar.
3. Cancellation & Rescheduling Terms
Client-Initiated Cancellation Before Work Commences: If the Client notifies Core Axispoint in writing at least seven (7) business days prior to the agreed project start date (repository ingestion), the initial deposit is eligible for a full refund minus a 5% administrative and banking transaction processing fee.
Cancellation Within 7 Business Days of Scheduled Start: If notice of cancellation is provided fewer than seven (7) business days prior to the start date, the deposit is non-refundable but may be fully applied as a credit toward rescheduling the audit within six (6) months.
Rescheduling: Clients may reschedule intake sessions or workshop dates without penalty by providing written notice at least three (3) business days in advance. Rescheduling requests with less than three days' notice may be subject to a rescheduling fee of $500 USD to cover allocated senior staff time.
4. Conditions for Partial Refunds (Work Already Started)
If an engagement is terminated by the Client after repository ingestion or static AST analysis has commenced, refunds are calculated on a pro-rata basis reflecting completed project stages:
- Stage 01 (AST Parsing & Initial Ingestion): If terminated during Stage 01, the Client is responsible for 40% of the total engagement fee; remaining amounts paid will be refunded.
- Stage 02 & 03 (Profiling & Domain Analysis): If terminated during Stage 02 or Stage 03, the Client is responsible for 75% of the total fee.
- Draft Report Delivery or Stage 04: Once the initial draft architectural dossier has been delivered to the Client or the final debrief workshop has been conducted, the engagement fee is considered 100% earned and non-refundable.
5. Non-Refundable Items
The following items and services are non-refundable under all circumstances:
- Completed rapid forensic triage sprints (e.g. Concurrency & Latency Triage) once the root-cause diagnosis and code blueprints have been delivered;
- Monthly advisory retainers for hours already delivered or expired monthly advisory allocations;
- Wire transfer, currency exchange, or banking intermediary fees incurred during cross-border transactions.
6. Refund Request Process & Processing Timelines
To request a refund or formal contract termination under the terms of your Statement of Work:
- Submit a formal written request via email to info@core-axispoint.click including your company name, SOW invoice reference number, and reason for termination.
- Core Axispoint will review the request against milestone completion logs and deliver a written reconciliation statement within five (5) business days.
- Approved refunds will be processed via international bank wire transfer (SWIFT) to the originating corporate bank account within ten (10) business days following reconciliation agreement.
